Administrative Assistant
The Administrative Assistant position is an important role in our firm. An Administrative Assistant has direct contact with clients via different forms of communication including, email, phone calls and in-person greetings. The Administrative Assistant spends time assisting financial advisors with paperwork, client casework and client needs. The particular responsibilities for each Administrative Assistant may vary depending on his/her strengths and the overall needs of the firm. The position may also change over time, incorporating new responsibilities and different overall focuses as it relates to client service.
Responsibilities
Client communication – phone calls (incoming/outgoing), email, other potential media communications
Provide a welcoming atmosphere to all prospective and existing clients of the practice through both telephone and face to face contact
Greeting incoming clients and vendors to assure they are comfortable while waiting for their appointment
Scheduling and confirming meetings and conference calls
Filing – Physical and electronic documents
Assist clients with various requests
Forms and applications
Data input and data management
Spreadsheet management
Office project management
Management of systems and processes
Preparing client reports and maintaining contact with clients to provide or obtain updated information
Maintain conference room cleanliness between client appointments
Distribution of incoming mail to appropriate team members
Seminar and client event assistance
Skills and Qualifications
Ability to multi-task and manage different, unrelated items throughout the day
Ability to work independently but as part of a team
Proficiency in Microsoft Office (Excel, Word, Outlook)
Basic understanding of investments and financial planning
Outstanding written and oral communications skills
Bachelor’s degree or adequate industry/position work experience
Securities and insurance licenses welcomed but not required
Compensation
Full-time base salary range (depending on experience) $30,000 - $35,000 / year
Part-time hourly range (depending on experience) $12.00 - $15.00 / hour
