Under the supervision of the Divisional Administrator, the incumbent will be responsible for academic affairs and human resources for the Division of Cardiology. In addition she/he will be responsible for the Human Resources management of personnel and academic affairs for the Division of Cardiology, the Center for Behavioral Cardiovascular Health, and Preventive Medicine/Nutrition, which includes full-time and part-time Faculty, Research and Administrative Officers, Fellows, In-Rotators, SSA Union, 61st Street Service Corporation and Casual Employees, MD Observers, Short-Term Visitors and Temporary Staff. The candidate will maintain customized tracking lists and credentials database to accurately report personnel activity on a weekly basis to Divisional Administrator and the Departmental Director of Operations, Business Manager, Accounts Payable and Grants Administrator. The Administrative Manager will oversee accredited/non-accredited Cardiovascular Diseases Fellowship and subspecialty programs. Work directly with Program Directors, Coordinators, and the office of Graduate Medical Affairs to meet the shared goals of the Division, national and independent educational accrediting organizations. Also manage in-rotator processing from affiliate programs and prepare related documents including agreements and pre/post evaluations. He/She will direct personnel administration for clinical, officer-level and union staff including; recruitment, new hire and visa processing, promotions, temporary placements, transfers, evaluations, compensation, discipline counseling, mediations and terminations while ensuring compliance with institutional Affirmative Action programs, Human Resources, Immigration policies and external regulatory agencies. Independently investigate and resolve escalated benefits and payroll issues. Supervise officer-level, support staff, 61 Service Corporation, temporary employees and volunteers. Duties include annual performance appraisals, bonus requests and identifying training opportunities and also conduct pre-qualifying interviews for all levels of staff. The incumbent will oversee attendance tracking, time-off requests, payroll processing and investigate any pay discrepancies and preparing related reports upon request. Manage Grand Rounds lecture series and other related special events. Assist with researching potential speakers, processing payments when necessary. Additionally the candidate will provide updates for cardiology website. Maintain current Faculty credentials files and process verification requests. Other related duties as assigned. Minimum Qualifications for Grade Applicant MUST meet these minimum qualifications to be considered an applicant Bachelors degree or equivalent in training and experience plus four years related experience. Experience managing academic personnel and/or human resources program in an academic, healthcare or non-profit setting required. Ability to communicate effectively with all levels of staff is essential; work independently and efficiently, as well as part of a team, is required. Excellent interpersonal, technical, organizational, and communication skills.
