Looking for an Assistant to provide support for busy Chairman / CEO of a leading hotel design and development company in New York City. The ideal candidate would have a minimum of five years? experience and be detail oriented, resourceful, adept at multi-tasking and following direction, possess good judgement, common sense, be conscientious and have a strong work ethic.
Duties & Responsibilities:
- Oversee daily operations of CEO?s office
- Facilitating daily meetings and keeping CEO on schedule
- Organizing business and personal travel for CEO and family (commercial and private planes, hotel reservations, car transfers)
- Extensive interaction with internal personnel and high level business associates
- Review call sheets, mail and tasks on a daily basis and maintain timely and effective execution of tasks
- Communication:
o Draft personal and business communication emails, letters and memos
o Answer phones, connect conference calls and video conferences
- Administrative:
o Sorting incoming and outgoing mail
o Photocopies, scanning, printing, faxing
o Paper and electronic filing
o Maintain extensive contacts database and mailing lists
o Troubleshoot & resolve telephone, computer (Mac & PC), iPhone and iPad issues
o Coordinate delivery of coffee and lunch for meetings
o Daily communication with driver or car service
o Restaurant reservations
o Stock office supplies
o Maintain organized work area
o Assist second assistant when required
- Special projects assigned as needed
Qualifications / Requirements
- College Degree ? Bachelor?s
- Five years? relevant experience
- Proficient with Microsoft Office (Outlook, Word, Excel)
- Strong time management, organization, multi-tasking and prioritization skills
- Close attention to detail and thorough approach to work is essential
- Professional attitude and demeanor
- Excellent communication skills (verbal, written and interpersonal)
- Ability to learn quickly and adapt to constantly changing, fast-paced environment
- Discretion and sensitivity in regards to confidential information
