Job Description:
Administrative Services is led by the Market Administrative Leader in each Market, and is comprised of Executive Assistants, Team Assistants, Records Management, Office Services, and Meeting & Event teams in the US markets. Executive Assistants provide administrative support to Partners and client service Managing Directors. They are the "single point of contact" for the administrative (arranging travel, scheduling meetings, preparing agendas, responding to routine correspondence, maintaining records or files, responding to visitors and telephone calls) needs of assigned internal customers and provide services in a manner that demonstrates the highest levels of quality, accountability, and teamwork. The Research team manages and performs research activities across multiple locations, with responsibility for the development of large-scale research deliverables for key stakeholder groups including Client Strategists and Client Service staff across the U.S.
Position/Program Requirements:
Knowledge Preferred: Comprehensive knowledge of Phone/Voicemail/e-mail/Instant messaging and take clear, concise messages and relays messages or routes calls in a timely manner. Comprehensive knowledge reconciling expense reports and information to Amex statements. Maintains connectivity with the Records Management and Office Services teams. Extensive knowledge of creating detailed itinerary of travel arrangements, meeting times, meal arrangements and car service requirements. Extensive knowledge of coordinating information regarding Passport/Visa issuance and renewal and Visa-Watch. Skills Preferred: Demonstrated ability to: Be proactive in identifying areas of support that are applicable to their customers' needs. Consistently apply business acumen and specialized technical knowledge, including a comprehensive understanding of their customers' support needs and the technology used by the team. Proactively participate in knowledge sharing activities, continuously develop and communicates best practices within formal and informal networks. Proactively adjust schedules and keep Internal Customers supported aware of changes on a timely and accurate basis. Draft, proofread, attach appropriate documentation and completes work within designated timelines. Create, edit and proofread roposals/presentations. Prepare expenses in an accurate and timely manner. Create and maintain an easily accessible e-file system. Enroll and track Partners/Managing Directors CPE credits, licenses and requirements. Accept, pick up and deliver mail and packages on a daily basis and sends mail and packages appropriately through interoffice mail, U.S. mail or express vendor. Efficiently enter and charge own time. Reserve rooms, catering, send invitations and manage responses for events. Interact and collaborate with Lines of Service and Internal Firm Service clients. Deliver exceptional customer service. Prior Lotus Notes experience preferred. Minimum Years of Experience Necessary: 5 Minimum Degree(s) and Certification(s) Required: Associate Degree or 6 years of administrative experience Additional Requirements: Must be able to demonstrate Microsoft Office Suite (Word, Excel PowerPoint) proficiency levels consistent with the firm's standards
