The Office Assistant & Meetings Coordinator is responsible for providing internal daily administrative support to the office staff as well as external customer service to our accounts, resolving client needs or issues with a smile. This person is not afraid to take ownership of projects and tasks and willing to suggest improvements within current office processes. Great for someone who wants to take their career to the next level - you'll be working alongside the co-founders of the company with plenty of room for growth.
Responsibilities:
Responsible for client communications, conflict resolution, and compliance on client deliverables
Prepare and edit correspondence, communications, presentations, and other documents for review
Ensure that client issues are dealt with in an efficient manner, informing the Account Director or Managing Director of any problems that may arise.
Conduct research, collect and analyze data to prepare reports and documents
Manage and maintain executives' schedules, appointments and travel arrangements
Arrange and co-ordinate meetings and events
Coordinate speakers' schedules for events and manage logistics of their travel
Record, transcribe and distribute minutes of meetings
Monitor, screen, respond to and distribute incoming communications
Answer and manage incoming calls as well as office inventory supplies
Receive and interact with incoming visitors
Identify opportunities to improve office workflow / efficiency / morale and suggest improvements (always open to new ideas)
Daily care for the beloved office pet Elvis (The cutest Parson Russell Terrier you'll meet)
Qualifications:
Friendly with a personality - willing to go the extra mile
Extremely detail oriented
Self-motivator with a high level of initiative
Works well in a team environment
Excellent written and oral communication skills
Handles stressful situations and deadline pressures well
Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite
Undergraduate degree preferred
Healthcare experience a plus
Event planning experience a plus
Dog-Lovers preferred
