Overview of Job: The Receptionist is the initial link with our clients, faculty and visitors. Moreover, the Receptionist's role is to effectively handle all initial contact with clients and others through the telephone, face-to-face reception, mail and messages. By signing in visitors and inquiring of strangers regarding their purpose in the office, the Receptionist plays a crucial role in maintaining office security. The Receptionist facilitates communication in the office by tracking employees' arrivals and departures, including vacations. Professional and accurate contact with clients and business associates is critical to our success. Additionally, the Receptionist ensures that the reception area is clean at all times and helps maintain the conference rooms and kitchen(s). Responsible for helping to coordinate conference room scheduling and catering for meetings and interviews. The Receptionist ensures that the firm's corporate database and employee mail/message slots are kept current. On occasion, the Receptionist is asked to run local errands. The Receptionist(s) report directly to the Senior Administrative Services Manager and works closely with the administrative staff to coordinate and meet deadlines. The duties associated with this position fall into the following categories: Essential Functions: 1. Reception Duties Greets clients, vendors, recruits, couriers, and repairmen and directs them to or notifies the appropriate parties. Answers, screens, and announces all incoming calls in a timely and professional manner; using standard reception protocol. Takes complete and accurate messages and follows up appropriately. Alerts Senior Administrative Services Manager and IT of any problems with the phone/voice mail system. Assists in maintaining office security by inquiring why strangers are in the office and alerting the Senior Administrative Services Manager to any security issues. Makes certain doors are locked at the end of the day. Schedules conference rooms using MRM software and negotiates scheduling conflicts. Updates attendance sheet throughout the day so others know when/where an employee can be found. Accepts and distributes packages from UPS, couriers, and Federal Express. Processes all incoming and outgoing Federal Express and courier packages using online shipping software, using our standard shipping protocol Schedules courier services [e.g., Western Messenger, DHL, UPS]. Tracks packages, report status and facilitates redirection of lost packages. Coordinates catering for firm and client meetings [e.g., orders breakfast/lunch for client meetings, sets up room for catering, ensures that drinks/coffee are available]. Makes reservations for clients [e.g., hotels, private cars, taxis, restaurants and airlines]. Assists in drafting front desk procedures and update reception forms. Perform a visual check of the office appearance at the start and end of Front Desk coverage and on going as needed. Maintain a neat/clean appearance of the Front Desk area including the two conference rooms This also includes being proactive in removing smudges, fingerprints from glass doors and neaten periodicals.. Load and run dishwasher and clean kitchen counters. Pick up, display and store newspapers and periodicals. Open and close the office each day [e.g., lock/unlock doors, turn off lights, etc.] 2. General Office Duties Performs document logging and data entry assignments using Excel and FileSurf. Review, allocate, prepare and research invoices [e.g. Federal Express, courier, restaurants, etc.] for Senior Administrative Services Manager's review. Type envelopes, mailing labels, and other documents. Assists with in-house mailings. Assist in maintaining corporate contact database (Outlook) [e.g., enters new clients into the database and updates existing records to ensure that we have the most current addresses and phone numbers]. Update phone cards in each conference room and common areas. Maintain postage meter and distributes mail. Assist with purchasing gifts, appliances, decorative items and miscellaneous consumables for the office. Monitor incoming and outgoing faxes and alert staff of incoming faxes. Maintain and trouble shoot problems front desk equipment [e.g., fax machine, printer, label maker]. Stock equipment supplies. 3. Miscellaneous Duties Actively participates in administrative and firm-wide meetings including staff meetings, off-sites and administrative retreats. Participate in employee orientation and training. All other duties as assigned. Education, Skills and Experience: 1. One-two years of general office experience with reception duties required. 2. Good interpersonal skills with a professional appearance and demeanor a must. 3. Dependability, attention to detail and ability to problem-solve is a must. 4. Ability to multi-task and take direction well. 5. Solid written, oral and interpersonal communication skills are essential. 6. Flexibility willing to help with projects as needed and openness to an environment of constant change and ambiguity. 7. Basic knowledge of Microsoft Office programs including Word, Excel and Outlook are required. 8. Must be willing to run local errands. 9. Occasional overtime required.
